How do I know my medical records are confidential? It is the policy of the Phillip Island Medical Group to maintain security of personal health information at all times and to make sure that this information is only available to authorised staff members. All staff members are required to sign a confidentiality agreement prior to working in the Practice. This agreement is strictly enforced. Our records are computerised and password protected; only your Doctor can fully access your medical records with their own personal password.
What happens if my Doctor wants me to have pathology tests or see a specialist? Usually your doctor will ask you to return once the investigation results or report from your specialist have been received to discuss the results and any further management. It would be wise to check with you doctor if you need to make another appointment before your consultation finishes.
If your doctor wishes to see you once results or a report have been received, a recall letter is sent to ask you to make an appointment; if you have already made an appointment please ring the surgery to confirm that you will be attending at that time. In the instance where your doctor needs to see you more urgently, you will be contacted by telephone.
Where you are referred to further tests you may incur some out of pocket expenses- so you are advised to ring the provider of these services so you will know exactly how much this will be.
Can I phone to see if the results have been received by my doctor? Yes, you can- our receptionist can, after confirming that you give them permission to access your medical records, advise if the results or report have been received. The receptionist cannot, unless directed by your doctor, advise you of any results.
If I am not well enough to come down to the consulting rooms, can a home visit be arranged? Yes, it can. However home visits are often inappropriate where investigations have to be carried out and these cannot be done at home. Also in an emergency situation, an ambulance may need to be called. Our receptionist will always relay a request for a home visit to the doctor concerned. Doctors of this Practice regularly provide home visits to patients in their care and these are usually made by prior arrangement between the Doctors and patient or carer concerned.
Am I able to ring to check on test results for my child or family member? You may ring and check for your child, but not a family member, as health information can only be given to the person concerned. Again it is usually more appropriate to see your Doctor regarding results.
What if I am experiencing difficulties paying the Doctors account? Please ask the receptionist if you can speak to one of our staff regarding your account. We can discuss your individual situation in a confidential manner. Alternatively if you prefer you may raise this matter with your Doctor at the time of you consultation.
What if I want to discuss something sensitive with the receptionist away from the front desk? Please feel comfortable to let our receptionist know that you wish to talk to them privately and they will take you into a separate room so that you can do so.
What if I am not satisfied with the treatment I have received? We would like to think that problems would be satisfactorily dealt with by our doctors or by speaking with practice manager, Gill. You are encouraged to either contact us by telephone or arrange a time to discuss your concerns. Alternatively you can complete a “patient feedback form” which can be obtained from our receptionists; this can also be mailed out on request. We appreciate any feedback that may improve our services to you.
